FirstLight Home Care is seeking a detail\-oriented and organized entry level Scheduler / Administrative Assistant to manage client and caregiver schedules while providing professional front\-office support. This role serves as a key point of contact for clients, staff, and visitors, ensuring smooth daily operations and excellent customer service.

Key Responsibilities

  • Coordinate and maintain client and caregiver schedules to ensure proper coverage
  • Answer incoming calls, greet visitors, and direct inquiries appropriately
  • Respond to referrals
  • Handle after\-hours and weekend emergency calls as scheduled
  • Communicate daily schedule changes with caregivers and clients
  • Maintain accurate staff and client records in scheduling and database systems
  • Monitor staffing levels and generate scheduling and retention reports
  • Perform general administrative duties (filing, data entry, mail distribution, document preparation, etc.)
  • Ensure HIPAA compliance and uphold company policies and procedures
  • Support continuous quality improvement initiatives
  • Stay current with agency technology and software systems
  • Qualifications

  • 1–2 years of administrative experience required
  • Minimum 1 year of scheduling experience preferred
  • Proficiency in Microsoft Office or Google Workspace and scheduling software
  • Working knowledge of basic medical terminology
  • Strong communication, organization, and problem\-solving skills
  • Ability to prioritize tasks and escalate urgent situations appropriately
  • Valid driver’s license and current auto insurance

Work Environment

Primarily an office\-based role with frequent phone and computer use. Occasional lifting (up to 15 lbs) may be required. Must be comfortable working in a healthcare environment and maintaining confidentiality at all times.
