Responsibilities

  • Greet visitors and manage front desk operations with professionalism and warmth
  • Answer multi\-line phone systems promptly, directing calls accurately and courteously
  • Manage calendar appointments, scheduling meetings, and coordinating events
  • Perform data entry tasks using Microsoft Office, Google Workspace, and QuickBooks to maintain accurate records
  • Handle filing, proofreading documents, and maintaining organized office files
  • Support bookkeeping activities including basic invoicing and expense tracking
  • Provide excellent customer service by assisting clients and responding to inquiries efficiently
  • Assist with office management duties such as ordering supplies, maintaining office equipment, and ensuring cleanliness
  • Qualifications

  • Proven office experience or clerical experience demonstrating organizational skills and attention to detail
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Familiarity with QuickBooks or similar accounting software is a plus
  • Strong computer literacy with excellent typing speed and accuracy
  • Bilingual abilities are highly desirable to serve diverse clients effectively
  • Exceptional phone etiquette with experience managing multi\-line phone systems
  • Excellent organizational skills with the ability to prioritize tasks efficiently
  • Previous experience as a dental or medical receptionist or personal assistant is advantageous
  • Knowledge of office management best practices, including filing systems and data entry procedures
