Position Overview
We are seeking a detail\-oriented and reliable Part\-Time Administrative Assistant to support our front office operations. This role is critical in ensuring efficient communication, accurate documentation, and a positive experience for families and stakeholders. The ideal candidate will have experience working with insurance companies and healthcare administration, with ABA authorization experience strongly preferred.
Key Responsibilities
- Serve as a primary support for front office operations, ensuring timely and professional communication with families, providers, and internal teams
- Communicate with insurance companies to verify benefits, obtain authorizations, and follow up on pending requests
- Assist with ABA service authorizations, including submission, tracking, and coordination with clinical and billing teams
- Maintain accurate records in internal systems (e.g., EMR, CRM platforms)
- Support intake processes, including gathering required documentation and ensuring completeness of client files
- Monitor and respond to shared inboxes and inquiries in a timely manner
- Collaborate with scheduling, clinical, and operations teams to ensure smooth onboarding and service initiation
- Assist with general administrative tasks, including data entry, reporting, and document management
- Ensure compliance with company policies, HIPAA regulations, and insurance requirements
- Prior administrative experience in a healthcare or behavioral health setting required
- Experience working with insurance companies (benefit verification, authorizations, claims follow\-up) required
- Experience with ABA authorizations strongly preferred
- Strong attention to detail and organizational skills
- Excellent written and verbal communication skills
- Ability to manage multiple tasks and prioritize effectively in a fast\-paced environment
- Proficiency with electronic systems (EMRs, scheduling platforms, Microsoft Office/Google Workspace)
- Ability to work both independently and collaboratively
- Part\-time: 15–20 hours per week
- Hybrid position: combination of in\-office and remote work (10\-15 hours in\-office)
- Some flexibility in scheduling, with preference for availability during standard business hours
