Coryell Autism Center prepares autistic adults to lead meaningful and independent lives in Santa Cruz County. As a nonprofit organization, we serve a small caseload of adults receiving support services in their home and community settings.
Job Summary:
Seeking a dependable, detail\-oriented Administrative Assistant to support financial and operational activities. The role requires strong organizational skills, discretion, and the ability to communicate professionally with staff, vendors, clients, and families.
Key Responsibilities:
Financial:
- Create and send client invoices, post client payments.
- Monitor accounts receivable and follow up on past\-due invoices.
- Maintain accurate AR records and prepare monthly reports.
- Prepare and manage employee expense reimbursements.
- Processing credit card purchases, keeping digital receipts and reconciliation of monthly credit cards.
- Assist with bi\-monthly payroll processing.
- Maintain employee records and support documentation.
- Manage data entry, filing systems, and recordkeeping to ensure accuracy and accessibility.
- Receive, sort, and process incoming mail (PO box mail)
- Manage workflows, spot\-check tasks, and ensure timely execution of projects
- Schedule client meetings and arrange transportation as needed.
- Establish and maintain complete and accurate filing systems as needed. This will include, but not be limited to attendance records/ transfers, expense reports, client requests, vendor/ contract information, projects, budgets, schedules, etc.
- Professionally respond to client and family inquiries; liaise with service providers.
- Provide general administrative support to staff as required.
- 1–2 years supporting a team or experience as an office administrator/assistant.
- Proficient with Microsoft Office (Teams, Word, Excel, Outlook).
- Strong organizational, time\-management, and prioritization skills.
- Excellent attention to detail and problem\-solving ability.
- Clear written and verbal communication skills.
- Able to work both collaboratively and independently
