Duties
- Manage front desk responsibilities, greeting visitors and directing them appropriately with professionalism and warmth
- Operate phone systems, handle incoming calls with courteous phone etiquette, and direct inquiries efficiently
- Maintain organized filing systems, perform data entry tasks, and ensure accurate recordkeeping using digital tools like Google Workspace.
- Assist with calendar management, scheduling appointments, meetings, and coordinating events to optimize team productivity
- Support bookkeeping activities using QuickBooks.
- Provide clerical support such as proofreading documents, preparing reports, and managing correspondence
- Proven experience in office management or administrative roles with a strong background in clerical tasks and customer service
- Excellent computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Strong organizational skills with the ability to prioritize tasks effectively in a fast\-paced environment
- Bilingual abilities are highly desirable to assist diverse clients and team members
- Experience with phone etiquette, multi\-line phone systems, data entry, filing, proofreading, and calendar management is essential
- Prior experience as a medical or dental receptionist or personal assistant is a plus but not required
- Knowledge of bookkeeping software such as QuickBooks is preferred but not mandatory
- Demonstrated ability to manage time efficiently while maintaining attention to detail in all tasks
