Job Summary

We are seeking an energetic and detail\-oriented Administrative Support Specialist to join our team. In this vital role, you will provide comprehensive administrative assistance, manage office operations, and ensure smooth communication across departments. Your proactive approach will help maintain organizational efficiency while delivering exceptional customer support and clerical services.

You Must Possess The Following Skillset:

\- Be able to work in a fast paced environment

\- Organized work habits to track supporting multiple departments including accounting, HR, Transportation and Operation departments

\- Bilingual is preferred

\- You must be able to come into the office every day (Monday \- Friday). Remote/Hybrid is not an option.

Responsibilities

  • Handle front desk duties, greeting visitors and managing multi\-line phone systems with professionalism and courtesy
  • Perform data entry, maintain filing systems, and manage document proofreading to ensure accuracy and organization
  • Utilize Microsoft Office Suite and MS Office tools for report creation, correspondence, and scheduling
  • Provide customer support via phone or email, addressing inquiries with excellent phone etiquette and responsiveness
  • Support multiple deparments on tasks such as supply inventory, filing systems, and general clerical duties to keep the office running smoothly
  • Requirements

  • Proven office experience with strong organizational skills and attention to detail
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and experience in accounting softwares helpful
  • Excellent computer literacy combined with strong typing skills and data entry accuracy
  • Bilingual abilities are a plus to serve diverse clients and team members effectively
  • Demonstrated ability to manage multiple tasks efficiently with good time management skills
  • Previous clerical or administrative experience in a professional setting is highly desirable
  • Strong phone etiquette skills along with experience handling multi\-line phone systems and customer service interactions
