We are seeking a dynamic and highly organized Office Assistant/Scheduler to join our team! You will play a vital role as the front office assistant, greeting clients, scheduling our providers, and returning calls and emails. You will help ensure smooth communication for clients and staff. Responsibilities

  • Manage and coordinate multiple provider's schedules and appointments, using a medical electronic health record (EHR) software.
  • Greet visitors at the front desk with friendly professionalism, answer questions and respond to calls and emails, promptly.
  • Perform data entry, maintain filing systems, and ensure accurate record keeping through clerical tasks such as proofreading and document organization.
  • Assist with office management duties including supply inventory, filing, and maintaining a clean, organized workspace.
  • Support personal assistant tasks such as calendar management, appointment reminders, and coordinating schedules for team members.
  • Experience

  • Required: Prior experience scheduling providers in an EHR.
  • Prior medical or mental health office administrative experience demonstrating strong organizational skills and multitasking abilities.
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook)
  • * Excellent phone etiquette coupled with strong time management skills to handle busy schedules efficiently.
