Responsibilities
- Greet visitors, clients, and vendors warmly, ensuring they feel welcomed and valued.
- Manage multi\-line phone systems efficiently, directing calls to the appropriate departments or personnel with professionalism.
- Handle all front desk duties including scheduling appointments, maintaining calendars, and managing visitor sign\-in procedures.
- Perform data entry, filing, and document proofreading to ensure accuracy and organization of office records.
- Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software.
- Assist with administrative support tasks including typing correspondence, managing emails via Google Workspace or Microsoft Office, and supporting customer service inquiries.
- Maintain a tidy reception area and ensure all office equipment is functioning properly for seamless daily operations.
- Proven experience in office management or as a receptionist, preferably in medical or dental settings.
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills.
- Excellent phone etiquette with experience operating multi\-line phone systems.
- Bilingual abilities are highly desirable to serve diverse client needs effectively.
- Exceptional organizational skills with the ability to prioritize tasks efficiently and manage time effectively.
- Clerical experience including filing, proofreading, calendar management, and customer support roles.
- Knowledge of bookkeeping software such as QuickBooks is a plus.
