Job Overview

We are seeking a Legal Receptionist to join our team. The ideal candidate will serve as the first point of contact for clients and visitors, providing exceptional customer service while managing administrative tasks in a fast\-paced legal environment. This role requires strong communication skills, attention to detail, and the ability to multitask effectively.

Responsibilities

  • Greet clients and visitors warmly, ensuring a professional atmosphere at the front desk.
  • Answer incoming calls, directing them to the appropriate personnel and taking messages when necessary.
  • Manage appointment scheduling for attorneys and maintain an organized calendar.
  • Perform clerical duties such as filing, data entry, and document preparation.
  • Assist with proofreading legal documents for accuracy and completeness.
  • Utilize Microsoft Office and Clio for various administrative tasks including document creation and email correspondence.
  • Provide support as a personal assistant to attorneys as needed.
  • Maintain confidentiality of sensitive information in compliance with legal standards.
  • Communicate effectively with clients.
  • Ensure the front desk area is tidy and well\-maintained at all times.
  • Qualifications

  • (Preferred) Proven experience in a receptionist or administrative role, preferably within a legal or professional services environment.
  • Strong computer literacy skills with proficiency in word processing and prodcutivity applications.
  • Excellent customer service skills with a friendly demeanor.
  • Ability to handle multiple tasks efficiently while maintaining attention to detail.
  • (Preferred) Experience with clerical duties such as filing, data entry, and document management is preferred.
  • (Preferred) Knowledge of legal terminology is a plus but not required.
  • (Preferred) Spanish Fluency is an asset that will enhance communication with diverse clients and will place you at the top of the pay range.
  • Strong proofreading skills to ensure accuracy in all written communications.
  • (Preferred) Military experience is a plus.
  • Must be able to obtain and maintain a notary license in both Iowa and Illinois.
  • Physical Requirements

    The physical demands described here are representative of those that must be met by you to successfully perform the essential functions of this position. While performing the duties of this position, you will be regularly required to talk or hear. You will be frequently required to use hands or fingers, handle or feel objects, tools, or controls. You will occasionally be required to stand; walk; sit; and reach with hands and arms. You must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this position include close vision, distance vision, and the ability to adjust focus (you have to be able to work on, read and understand documents that are both printed and in computer format). The noise level in the work environment is usually low to moderate.

    Job Type: Part\-time

    Pay: $17\.00 \- $19\.00 per hour

    Expected hours: 20 – 25 per week
