Job Summary

Duties

  • Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette.
  • Operate multi\-line phone systems efficiently, handling inquiries and routing calls promptly.
  • Maintain organized filing systems, data entry, and accurate record\-keeping using digital tools such as Google Workspace and Microsoft Office.
  • Perform clerical tasks including proofreading documents, scheduling appointments, calendar management, and managing correspondence.
  • Support office management activities such as supply inventory, bookkeeping with QuickBooks, and coordinating office logistics.
  • Provide exceptional customer service by addressing inquiries via phone or email and supporting client needs with professionalism.
  • Assist with specialized roles such as medical or dental receptionist duties when needed, including patient or client check\-in and appointment scheduling.
  • Qualifications

  • Proven experience in an office environment with strong clerical and administrative skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
  • Familiarity with QuickBooks accounting software and basic bookkeeping practices.
  • Excellent organizational skills with the ability to multitask efficiently in a fast\-paced setting.
  • Strong typing skills with high accuracy; attention to detail for proofreading and data entry tasks.
  • Exceptional communication skills, including phone etiquette; bilingual abilities are highly preferred.
  • Previous experience in customer service or personal assistant roles is advantageous.
  • Knowledge of multi\-line phone systems, filing procedures, calendar management, and office management best practices.
