Position Summary
The Administrative Assistant provides essential day\-to\-day administrative and operational support to PEAK Literacy’s team and programs. Reporting directly to the Operations Manager, this role serves as a key point of contact for staff, volunteers, parents, and community partners, and plays an important role in keeping the office running smoothly and efficiently. The Administrative Assistant works closely with the Operations Manager and also takes direction from the Program Director and Literacy Specialist to support program operations and assessment preparation. This is a part\-time, in\-person position requiring approximately 30 hours per week, along with a valid driver’s license and the ability to occasionally travel to program sites and run organizational errands,
Key Responsibilities
1\. Office \& Administrative Operations
- Manage incoming calls in a professional and timely manner.
- Maintain a professional, welcoming, and organized office environment for staff, visitors, and partners.
- Manage and maintain organizational files, shared drives, and digital and physical administrative documents.
- Place, track, and manage supply orders to ensure the organization has necessary materials on hand.
- Coordinate meeting logistics, including ordering any materials needed for meetings, events, and organizational gatherings.
- Assist the Operations Manager with expense tracking and financial record\-keeping.
- Support the coordination and scheduling of meetings, events, and program activities across the organization.
- Assist with program attendance tracking and data entry in support of the Operations Manager and Literacy Specialist.
- Prepare and organize assessment materials for beginning\-of\-year, mid\-year, and end\-of\-year formative assessments in coordination with the Literacy Specialist.
- Assist the Program Director with administrative tasks and operational support as needed.
- Occasionally visit program sites to deliver materials, provide support, or assist with logistics as directed.
- Serve as a friendly and professional first point of contact for parents, volunteers, and community partners in person, by phone, and via email.
- Respond to general inquiries and route communications to the appropriate staff member in a timely manner.
- Support the Operations Manager in maintaining positive relationships with vendors, partners, and community stakeholders.
- Support staff onboarding logistics, including preparing materials, setting up workspaces, and coordinating schedules in collaboration with the Operations Manager.
- Assist with the preparation of grant proposals, reports, and funding\-related documentation as directed by the Operations Manager.
- Contribute to special projects and organizational initiatives as assigned by the Operations Manager, Program Director, or Executive Director.
- Uphold organizational policies and procedures and contribute to a positive, mission\-driven workplace culture.
- Associate’s or Bachelor’s degree preferred; equivalent work experience in an administrative or office support role will be considered.
- Strong organizational skills and attention to detail with the ability to manage multiple tasks simultaneously.
- Excellent written and verbal communication skills and a professional, welcoming demeanor.
- Proficiency in Microsoft Office (Word, Excel, Outlook); familiarity with Canva, Monday.com, RingCentral, or similar platforms a plus.
- Ability to work independently and take direction from multiple supervisors in a fast\-paced environment.
- Valid driver’s license and reliable transportation required.
- Comfort with occasional site visits and local errands as part of regular job duties.
