We are seeking a highly experienced Office Assistant / Account Manager to support the daily operations of a growing commercial HVAC company. This is a remote position, but candidates must be detail\-oriented, self\-managed, and already familiar with HVAC workflows and accounting processes.
Key Responsibilities
- Manage day\-to\-day administrative operations
- Handle invoicing, billing, and accounts using QuickBooks
- Coordinate with technicians, vendors, and clients
- Track jobs, work orders, and service schedules
- Maintain accurate financial and customer records
- Assist with reporting, collections, and account follow\-ups
- Minimum 3\+ years experience working with an HVAC company
- Strong proficiency in QuickBooks (invoicing, reconciliation, reporting)
- Experience managing accounts, billing, and office operations
- Excellent communication and organizational skills
- Ability to work independently in a remote environment
- Experience with commercial HVAC operations
- Familiarity with service dispatching systems
- Strong problem\-solving and multitasking ability
