Responsibilities
- Greet visitors, clients, and vendors warmly, providing exceptional customer service and ensuring a positive first impression
- Manage multi\-line phone systems, screen calls, take messages, and direct inquiries to appropriate staff members
- Handle front desk duties including scheduling appointments, maintaining visitor logs, and organizing incoming and outgoing mail
- Perform data entry, filing, and document proofreading to support office operations with accuracy and efficiency
- Utilize computer skills in Microsoft Office Suite (Word, Excel, Outlook)
- Assist with calendar management and scheduling for team members or executives as needed. Purchasing and pricing a plus.
- Support office management tasks such as supply inventory, basic bookkeeping using QuickBooks, and maintaining organized files
- Proven office experience or clerical experience with a strong understanding of administrative procedures. Accounting background needed.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast\-paced environment
- Strong computer literacy including proficiency in Microsoft Office applications and Google Workspace tools
- Exceptional phone etiquette with experience managing multi\-line phone systems
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Experience in customer service role,
- Ability to type quickly with high accuracy; familiarity with data entry and proofreading tasks
- Knowledge of office management practices including filing systems, calendar coordination, and basic bookkeeping (QuickBooks preferred)
- Demonstrated time management skills with the ability to handle multiple responsibilities simultaneously
