JOB DESCRIPTION
Kenney Shelton Liptak Nowak LLP is seeking an organized and proactive Legal Executive Assistant to join our Syracuse office team.
This is a high\-impact role in a close\-knit office setting. The Executive Legal Assistant will provide comprehensive administrative, office, event planning, and legal support while helping ensure the office runs smoothly and efficiently. The ideal candidate is proactive, organized, discreet, and comfortable wearing multiple hats. The successful candidate will have excellent secretarial and organizational skills, be able to effectively prioritize tasks and meet deadlines in a fast\-paced environment, and have strong written and oral communication skills. Familiarity with law, legal procedures and protocols, and court systems is also required. KEY RESPONSIBILITIES
Administrative Support: Provide comprehensive administrative assistance to legal teams, including managing calendars, scheduling appointments, and organizing meetings.
Document Preparation: Draft, review, and revise legal documents, correspondence, and reports under the direction of attorneys to ensure accuracy and compliance with legal standards.
File Management: Organize and maintain both electronic and paper legal files, ensuring all documentation is up\-to\-date and easily accessible for review and court proceedings.
Client Communication: Act as a liaison between attorneys and clients, facilitating communication and addressing inquiries to maintain strong client relationships.
Travel Coordination: Arrange travel for attorneys, including booking flights and accommodations, and preparing itineraries for business trips or court appearances.
Event Planning: Assist in planning and coordinating events from start to finish, communicate with vendors, venues, and suppliers to confirm arrangements, track event budgets and process invoices, manage guest lists, RSVPs, and registration processes; assist with marketing and promotional materials (if applicable), provide on\-site support during events and troubleshoot minor issues.
QUALIFICATIONS
- 3\+ years of experience as a legal assistant, executive assistant in a law firm, or similar legal setting
- Strong knowledge of legal terminology and court filing procedures
- Technology: Microsoft Office Suite, CARET
- Exceptional written and verbal communication skills
- Strong organizational and time\-management abilities
- High level of professionalism, discretion, and confidentiality
- Ability to work independently in a small team environment
- Legal administrative: 3 years (Preferred)
Salary $65,000\-$75,000 annually, plus bonus potential tied to performance metrics.
