Position Summary:
We are seeking a highly organized, proactive, and trustworthy Executive Assistant to provide comprehensive administrative and operational support to our Chief Financial Officer. This is a critical role that demands exceptional attention to detail, strong judgment, discretion, and the ability to manage multiple priorities in a fast\-paced environment. - Manage the CFO’s complex calendar, including scheduling internal and external meetings, board presentations, investor calls, and travel arrangements.
- Coordinate and prepare materials for executive meetings, quarterly board reviews, investor presentations, and financing transactions (e.g., PowerPoint decks, financial summaries, due\-diligence packages).
- Handle all travel arrangements (domestic and international), expense reporting, and reimbursement processing.
- Draft, proofread, and distribute confidential correspondence, memos, and reports.
- Serve as the primary point of contact for the CFO with internal teams (Accounting, Asset Management, Legal, Acquisitions) and external stakeholders (lenders, investors, auditors, attorneys).
- Assist with special finance projects, including capital raises, property acquisitions, debt refinancings, and annual budgeting processes.
- Maintain organized filing systems (physical and digital) for financial records, contracts, and compliance documentation.
- Anticipate needs, track deadlines, and proactively resolve scheduling or logistical conflicts.
- Provide additional administrative support to the broader Finance department as needed.
- 5\+ years of experience as an Executive Assistant or in a similar support role, with at least 2 years directly supporting a CFO, Controller, or other C\-level finance executive.
- Bachelor’s degree in Business Administration, Finance, Real Estate, or a related field (preferred).
- Advanced proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) and Adobe Acrobat. Experience with real estate accounting software (Yardi, MRI, or similar) is a strong plus.
- Proven ability to handle highly confidential and sensitive information with the highest level of discretion.
- Exceptional organizational skills, attention to detail, and the ability to prioritize effectively in a fast\-moving environment.
- Excellent written and verbal communication skills with a polished, professional presence.
- Prior experience in commercial real estate, finance, or investment firms is highly preferred.
- Must be able to work fully on\-site in Irvine, CA (no remote or hybrid option).
Qualifications:
Pay: $70,000\.00 \- $90,000\.00 per year
