Position Title: City Clerk
Status: Part\-Time (32 hours per week)
Compensation: $21\.00 – $26\.00 per hour depending on experience
Schedule: In office Tuesday, Thursday, and Friday from 8:30 AM to 4:30 PM. Remaining hours may be flexible and partially remote depending on operational needs.
Position Overview
The City of Bel\-Nor is seeking a reliable and organized individual to serve as City Clerk. This position supports the day to day administrative operations of City Hall, including resident communication, permit processing, record keeping, and basic financial tracking.
The role will initially focus on core clerical and administrative responsibilities, with the opportunity to expand into additional accounting and bookkeeping functions as the position develops and internal transitions occur.
The City anticipates that this role may grow in hours, responsibility, and compensation over time.
The ideal candidate will be detail oriented, comfortable managing multiple tasks, and able to work independently in a small municipal environment.
Primary Responsibilities
Administrative Operations
- Answer phones and respond to emails.
- Assist residents with general questions, requests, and front desk needs.
- Prepare Board agendas and take meeting minutes.
- Maintain organized records, files, and official City documents.
- Coordinate document routing and general office workflow.
- Process permits and enter data into tracking systems.
- Maintain records of permits, licenses, and related activity.
- Coordinate inspection scheduling and follow up.
- Track permit and inspection status to ensure completion and documentation.
- Collect payments and issue receipts.
- Record deposits and maintain basic daily ledger entries.
- Track incoming revenue related to permits, licenses, and other payments.
- Maintain organized financial records for internal use.
- Process invoices and assist with bill payment.
- Reconcile accounts and track expenditures.
- Maintain financial records and assist with reporting.
- Support audit preparation and documentation.
- Assist with purchasing documentation and vendor coordination.
- High school diploma or equivalent required.
- Strong organizational and communication skills.
- Ability to manage multiple tasks and maintain attention to detail.
- Basic computer skills and comfort learning new systems.
- Experience in administrative, clerical, or office support roles.
- Basic knowledge of bookkeeping or accounting practices.
- Experience with permitting, licensing, or municipal operations.
