We are seeking a dynamic and highly organized Office Assistant to join our team! This energetic role is vital in ensuring the smooth operation of our office environment. As an Office Assistant, you will handle a variety of administrative tasks, support office management, and provide exceptional customer service to both internal teams and external visitors. Responsibilities

  • Greet visitors at the front desk with professionalism and warmth, managing multi\-line phone systems with courteous phone etiquette.
  • Manage daily office operations including filing, data entry, and maintaining organized records using Microsoft Office, Google Workspace, and other office software.
  • Assist with calendar management and scheduling appointments for team members or clients, ensuring efficient time management.
  • Support bookkeeping activities using QuickBooks or similar accounting software, including invoicing and expense tracking.
  • Provide exceptional customer support by responding promptly to inquiries via phone or email, offering assistance or directing calls appropriately.
  • Perform clerical tasks such as proofreading documents, managing incoming and outgoing mail, and maintaining filing systems.
  • Support office management duties like ordering supplies, coordinating maintenance requests, and ensuring the office environment remains organized and welcoming.
  • Requirements

  • Proven experience in an office setting with strong clerical skills and familiarity with office management procedures.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and basic computer literacy.
  • Experience with multi\-line phone systems, front desk responsibilities, and professional phone etiquette.
  • Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members.
  • Strong organizational skills with the ability to prioritize tasks efficiently while managing multiple responsibilities simultaneously.
  • Excellent typing speed along with attention to detail for proofreading and data entry tasks.
  • Knowledge of QuickBooks or bookkeeping experience is a plus; previous roles such as medical receptionist or dental receptionist are advantageous.
  • Personal assistant or administrative support experience demonstrating calendar management and customer service excellence is preferred.
  • Ability to work well independently as well as part of a team in a fast\-paced environment.
