We are seeking a highly organized and proactive Personal Assistant to provide comprehensive administrative support to our executive team. This dynamic role involves managing personal/ administrative schedules, coordinating projects, handling correspondence, involves daily task across home and office duties, and ensuring smooth office operations. The ideal candidate will demonstrate exceptional organizational skills, attention to detail, and a positive attitude to help our leadership team stay focused and efficient. We are looking for someone who is punctual and professional, computer\-savvy, and comfortable working in a dynamic environment. The ideal candidate should also be good with children due to us owning several group homes. Responsibilities

  • Manage and maintain executive calendars using Apple Calendar and Google Workspace, scheduling appointments, meetings, and travel arrangements with precision.
  • Coordinate and organize events, meetings, and conferences, including venue booking, catering arrangements, and preparing necessary materials.
  • Handle all aspects of office management such as filing, data entry, document proofreading, transcription, and maintaining office supplies inventory.
  • Provide executive administrative support through efficient phone etiquette on multi\-line phone systems and prompt email correspondence.
  • Assist with bookkeeping tasks using QuickBooks, including invoicing, expense tracking, payroll, and basic financial record keeping.
  • Support project coordination efforts by tracking deadlines, preparing reports, and ensuring timely completion of tasks.
  • Perform clerical duties such as filing, data entry, front desk reception responsibilities, and managing incoming calls with professionalism.
  • Requirements

  • Proven experience as a Personal Assistant or in an administrative support role with a strong background in office management.
  • Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry tools.
  • Excellent organizational skills with the ability to multitask effectively in a fast\-paced environment.
  • Strong written and verbal communication skills with professional phone etiquette.
  • Experience with bookkeeping software such as QuickBooks is preferred.
  • Ability to handle confidential information discreetly while maintaining high levels of accuracy in proofreading and transcription tasks.
  • Familiarity with multi\-line phone systems, Microsoft Outlook Calendar management, DocuSign for electronic signatures, and general office experience is highly desirable.
