Duties

  • Manage complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events efficiently.
  • Coordinate and plan various events, including meetings, conferences, and company functions from start to finish.
  • Handle all aspects of office management such as filing, data entry, maintaining supplies, and overseeing front desk operations.
  • Provide executive administrative support by preparing reports, proofreading documents, transcribing recordings, and managing correspondence.
  • Utilize QuickBooks for basic bookkeeping tasks such as invoicing, expense tracking, and financial record keeping.
  • Oversee project coordination efforts by tracking deadlines, preparing agendas, and ensuring timely completion of tasks.
  • Maintain professional phone etiquette on multi\-line phone systems while providing excellent customer service to clients and visitors.
  • Perform clerical duties including filing, data entry, proofreading documents, and managing office records with accuracy.
  • Use Office experience with Microsoft Office Suite (Word, Excel) and Google Workspace tools to produce high\-quality documents and presentations.
  • Support the team with office experience tasks such as organizing files, managing supplies, and ensuring a productive work environment.
  • Skills

  • Proven experience as a Personal Assistant or in an administrative support role with strong organizational skills.
  • Excellent calendar management skills using Microsoft Outlook Calendar and Google Workspace tools.
  • Proficiency in Microsoft Office Suite (Word, Excel), Google Workspace applications, and data entry software.
  • Strong communication skills with professional phone etiquette across multi\-line phone systems.
  • Ability to handle bookkeeping tasks using QuickBooks with attention to detail in financial record keeping.
  • Experience in event planning and project coordination to ensure seamless execution of company initiatives.
  • Exceptional proofreading and transcription skills for preparing accurate reports and correspondence.
  • Office management expertise including filing systems, front desk operations, and general clerical duties.
  • Knowledge of DocuSign for electronic document signing processes is a plus.
  • Demonstrated ability to prioritize tasks effectively while managing multiple projects simultaneously in a fast\-paced environment.
