Responsibilities

- Manage multi\-line phone systems with professionalism, directing calls accurately and courteously
- Handle appointment scheduling, calendar management, and coordinate meetings for staff as needed
- Perform clerical duties such as data entry, filing, proofreading, and maintaining organized records
- Operate office equipment including computers, printers, and fax machines using Microsoft Office and Google Workspace tools
- Support office management tasks such as supply inventory checks, basic bookkeeping with QuickBooks, and document preparation
- Provide excellent customer service by addressing inquiries efficiently and supporting overall office operations with professionalism
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with multi\-line phone systems and phone etiquette to handle calls confidently
- Bilingual abilities are highly desirable to assist diverse clientele effectively
- Excellent organizational skills with keen attention to detail in data entry, filing, and proofreading tasks
- Prior office or administrative experience, including clerical duties like calendar management and time management skills
- Knowledge of office management practices combined with customer support expertise to ensure smooth daily operations
- Personal assistant or medical/dental receptionist experience is a plus for understanding specialized workflows such as appointment scheduling or medical record handling
