We are seeking a dynamic and highly organized Executive Assistant to join our team! Duties

  • Manage complex calendars, schedule appointments, and coordinate meetings for executive team members with precision and professionalism
  • Handle incoming calls using multi\-line phone systems, directing inquiries with excellent phone etiquette and customer service skills
  • Prepare, proofread, and edit correspondence, reports, and presentations to ensure clarity and accuracy
  • Maintain organized filing systems, both physical and digital, including data entry and document management using Google Workspace and Microsoft Office tools
  • Assist with bookkeeping tasks such as invoicing and expense tracking using QuickBooks or similar accounting software
  • Support office management activities including front desk responsibilities, greeting visitors, managing office supplies, and overseeing clerical tasks like filing and photocopying
  • Provide personal assistant support as needed, including travel arrangements, calendar management, and task prioritization to optimize executive productivity
  • Skills

  • Proven experience in office management or administrative roles with strong organizational skills
  • Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and data entry skills
  • Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members
  • Strong typing skills coupled with meticulous proofreading abilities to ensure error\-free documents
  • Knowledge of multi\-line phone systems, phone etiquette, and customer support best practices
  • Experience with office equipment such as fax machines, scanners, and printers; familiarity with front desk operations or medical/dental receptionist experience is a plus
  • Ability to handle multiple priorities efficiently through effective time management and organizational techniques
  • Personal assistant experience or medical receptionist background is advantageous for supporting executive needs in various contexts
  • Familiarity with bookkeeping processes like invoicing or basic accounting tasks using QuickBooks or similar software
