    Position Overview

  • The Administrative Assistant is a key part of our team and serves as a liaison between administration, clients, vendors, and field operations. This role is responsible for a wide variety of administrative and office support tasks that help keep the organization running smoothly and efficiently.

    This is an excellent opportunity for someone who is organized, proactive, detail\-oriented, and comfortable working in a fast\-paced environment. The right candidate will be able to use sound judgment, communicate professionally, and support both executive and operational needs.

    Key Responsibilities

  • Greet clients and answer phones with a positive, professional attitude
  • Enter client contact information and communications into the database
  • Assign incoming leads to the appropriate departments
  • Prepare job packets for client projects and monitor status throughout the construction process
  • Process invoices and receive client payments through QuickBooks
  • Manage job project data entry
  • Manage timesheets, payroll sheets, time\-off calendars, and benefit accruals
  • Enter billing and run aging account reports for payables through QuickBooks
  • Maintain accurate accounts payable and receivable records
  • Contact vendors regarding payments and assist with collections as needed
  • Assist the sales team with follow\-up calls to potential clients
  • Support client communication and paperwork throughout various project stages
  • Assist the marketing department with campaign\-related tasks
  • Help the sales team schedule client meetings and prepare documents as needed
  • Prepare weekly, monthly, quarterly, and annual reports as requested
  • Maintain confidentiality of company and client information
  • Support strong communication across team members and leadership

  • Qualifications and Skills

  • Strong verbal and written communication skills
  • Proficiency in
  • Excel, Google Docs, Microsoft Office, QuickBooks, and data entry systems

  • Strong problem\-solving and organizational skills
  • Ability to multitask and prioritize multiple responsibilities at once
  • Ability to work independently with minimal supervision and also as part of a team
  • Strong time management skills and attention to detail
  • Dependable, responsible, and ethical
  • Ability to perform well under pressure and meet deadlines in a fast\-paced environment
  • Ability to maintain confidentiality at all times
  • Flexible schedule, including occasional weekends and holidays, as needed
  • Education and Experience

  • High school diploma, GED, or equivalent required
  • College experience preferred
  • 2\- or 4\-year degree in Business or equivalent is a plus
  • Must be able to speak, read, and write English
  • Minimum of
  • 2 years of customer service experience

  • Minimum of
  • 5 years of bookkeeping and/or QuickBooks experience

  • Knowledge of payroll, HR laws, and experience working with a CPA is preferred
  • Valid driver's license required
  • Physical Requirements

  • Ability to sit for extended periods while working at a desk or computer
