Position overview:
We are seeking an Accounting Clerk to join our team in a fully remote capacity. This role is responsible for all items listed below. As an Accounting Clerk, you will be an integral part of a dynamic team dedicated to delivering excellence in environmental services. Your contributions will directly impact the success of projects, ensuring timely delivery and operational efficiency while fostering innovation and sustainability in our operations.The ideal candidate is organized, professional, self\-directed, and able to work effectively in a home\-based environment while maintaining regular communication and collaboration with managers, coworkers, and business partners.
* Support vendor and subcontractor inquiries regarding accounts payable.
* Assist with inquiries and payment status questions as needed.
* Assists with check running activities and auditing to meet weekly deliverable deadlines.
* Maintain organized accounts payable records and file records.
* Match invoices, purchase orders and receivers prior to payment distribution.
* Match invoices to checks prior to signing and ensure each check has appropriate support.
* Check run processing support.
Job Duties:
- Answer phone calls and respond to calls with 95% completion rate.
- Coordinate with the other departments as needed.
- To provide administrative support to ensure efficient operation of the office
- To be the main point of contact for active work orders scheduled for invoicing jobs
- Provide support to all managers, employees, and clients through a variety of tasks related to organization and communication
- Responsible for confidential and time\-sensitive material
- Ability to effectively communicate telephonically and prepare business correspondences via Email or mail
- Professional answering of inbound calls contributing to an excellent client experience
- Ensuring that all expenses relating to work orders are expensed including shipping fees, sample media order, laboratory fees, hotel, air, flight, labor, etc.
- Processing all invoices, updating W\-9s, waivers and releases, Vendor packets, and certificate requests on an as\-needed basis
- Provide consistent notation of any and all communication with vendors or clients in our client database
- Must be coachable and adapt to the MSE Environmental Foundations of the Brand
- Other duties as assigned.
- Send invoice and account updates to clients
- Keep an accurate record of clients accounts and outstanding balances
- Receive, sort and track incoming payments
- Validate debit accounts to ensure the credibility of payments
- Issue receipts of received payments
- Address and solve client data questions and issues
- Securely handle client data and payment information
- Provide regular, accurate reports of billing data.
- Utilizing strong communication, organizational and multitasking skills along with proficiency in managing emails to maintain customer relations and navigate the claims invoicing process
- Make invoicing calls and follow\-ups and email communication
- Research and resolve account value discrepancies promptly with customers
- Required daily progress email with all detailed tasks completed that day
- Sending and responding to emails
- Answering phone calls, transferring calls, organizing conference calls
- Maintain correct pricing in client CRM for products and services as well as laboratory costs and fees.
- Perform assigned job duties accurately, timely, and professionally.
- Communicate effectively with supervisors, team members, and other stakeholders.
- Participate in virtual meetings, training sessions, and team discussions as required.
- Maintain productivity, attendance, and work quality standards.
- Protect confidential and proprietary company information.

- Two or more years of experience is preferred.
- Possess skills needed to operate basic office equipment (PC, copier, printer, scanner, conference equipment, mobile devices, office phone, etc.)
- Works well independently or within a team with the ability to take direction well and drive to succeed.
- Technical knowledge of environmental services is preferred.
Job Qualifications
The successful candidates will be required to speak, read, and write English. Candidates should have excellent verbal and written communication skills with the ability to type 50 WPM, excellent phone etiquette, a positive courteous attitude, good organizational skills, and a strong work ethic. Must also demonstrate the ability to have excellent attention to detail with accuracy, time management, and planning skills, and be able to multitask. You must also show your ability to prioritize your workload. Candidates will work closely with field consultants/technicians, management, business development, invoicing and estimating to make sure jobs are invoiced correctly and critical thinking skills to deliver excellent service.
Strong analytical and problem\-solving skills.
Excellent communication and interpersonal abilities.
Proficiency in scheduling software, logistics tools, and Microsoft Office Suite.
Ability to work under pressure and manage multiple tasks simultaneously.
Knowledge of regulatory compliance in transportation and logistics is a plus.

Work Schedule
M\-F 8 am – 5 pm and job completion

Video Meeting Expectations
Because collaboration is an important part of this role, employees are expected to participate in video\-enabled meetings, training sessions, and other required virtual business activities. Travel Requirements
This position is not expected to require business travel in the ordinary course of work. Any business\-related travel must be approved in advance by the company and may be authorized only when necessary and consistent with business needs.
Schedule and Attendance
This role is expected to work full\-time hours in accordance with the company’s scheduling and attendance requirements. Employees must be available during assigned working hours, attend required meetings, and timely notify management of absences or schedule issues in accordance with company policy.
