Responsibilities

  • Greet visitors at the front desk with professionalism and warmth, managing multi\-line phone systems with excellent phone etiquette.
  • Handle incoming calls, direct inquiries appropriately, and provide outstanding customer service support.
  • Perform data entry tasks using Microsoft Office, Google Workspace, and QuickBooks to maintain accurate records and financial documentation.
  • Manage filing systems, organize documents, and ensure all paperwork is properly stored and easily accessible.
  • Assist with calendar management and scheduling appointments for staff or executives, ensuring efficient time management.
  • Support office management tasks such as ordering supplies, maintaining office equipment, and coordinating maintenance requests.
  • Proofread correspondence, reports, and other documents for accuracy and clarity to uphold professional standards.
  • Qualifications

  • Proven office experience with strong clerical skills including data entry, filing, and document proofreading.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace applications, and basic computer literacy.
  • Experience with QuickBooks or similar accounting software is highly desirable.
  • Excellent organizational skills with the ability to multitask effectively in a busy environment.
  • Strong communication skills in English; bilingual abilities are a plus for serving diverse clients.
  • Previous experience as a receptionist or medical/dental receptionist is advantageous.
  • Demonstrated ability to handle multi\-line phone systems with professionalism and courtesy.
  • Personal assistant or administrative support experience that showcases time management and customer service excellence.
