We are seeking a dynamic and highly organized Administrative Assistant to join our team! Duties

  • Manage front desk responsibilities, greeting visitors and directing them appropriately with friendly professionalism
  • Operate multi\-line phone systems to handle incoming calls, transfer messages, and provide information efficiently
  • Maintain accurate data entry and filing systems, including digital records using Google Workspace and Microsoft Office tools
  • Assist with calendar management, scheduling appointments, meetings, and coordinating events seamlessly
  • Support bookkeeping tasks using QuickBooks or similar accounting software to track expenses and invoices
  • Provide clerical support such as proofreading documents, preparing correspondence, and managing office supplies
  • Handle customer support inquiries with excellent phone etiquette and ensure timely resolution of issues
  • Perform general office management duties including organizing files, processing mail, and maintaining office equipment
  • Skills

  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast\-paced environment
  • Bilingual abilities are highly desirable to assist diverse clients and team members
  • Previous office experience or clerical experience demonstrating familiarity with administrative procedures
  • Exceptional customer service skills combined with professional phone etiquette and active listening skills
  • Proven ability to manage time efficiently while handling multiple responsibilities simultaneously
  • Experience with medical or dental receptionist duties is a plus, including calendar management for appointments
  • Knowledge of bookkeeping practices using QuickBooks or similar software is advantageous
  • Personal assistant or medical receptionist experience will be considered a strong asset
