Duties

  • Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly
  • Manage multi\-line phone systems, directing calls efficiently and courteously using proper phone etiquette
  • Handle incoming correspondence, emails, and inquiries with accuracy and professionalism
  • Maintain organized filing systems, data entry records, and ensure all documents are properly proofread and archived
  • Schedule appointments, manage calendars, and coordinate meetings using Microsoft Office and Google Workspace tools
  • Support office management tasks such as ordering supplies, maintaining cleanliness, and overseeing general administrative duties
  • Assist with bookkeeping activities using QuickBooks or similar software when needed
  • Provide exceptional customer support by addressing inquiries promptly and professionally
  • Requirements

  • Proven experience in office management or administrative roles, preferably as a receptionist or in clerical support
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
  • Bilingual abilities are highly desirable to serve diverse clients and visitors effectively
  • Experience with multi\-line phone systems, calendar management, and phone etiquette is essential
  • Knowledge of office procedures such as filing, proofreading documents, and handling confidential information
  • Previous experience in customer service or as a medical or dental receptionist is a plus
  • Personal assistant experience or familiarity with bookkeeping can be advantageous
  • Demonstrated ability to work independently while maintaining attention to detail in fast\-paced environments
