Duties

  • Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette.
  • Operate multi\-line phone systems efficiently, handling inquiries and routing calls promptly.
  • Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks for bookkeeping tasks.
  • Organize and file documents systematically, ensuring easy retrieval and compliance with company policies.
  • Support office management activities such as calendar management, scheduling appointments, and coordinating meetings.
  • Provide customer service support by addressing client questions via phone or email, delivering friendly and helpful assistance.
  • Assist with clerical tasks including proofreading documents, preparing reports, and managing correspondence.
  • Handle office supply inventory and coordinate maintenance or repairs as needed to keep the workspace functional.
  • Support personal assistant duties when required, including travel arrangements or special project coordination.
  • Contribute to a positive office environment by demonstrating professionalism in all interactions and maintaining confidentiality.
  • Experience

  • Proven office experience with a strong background in administrative support roles.
  • Familiarity with office management software such as Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools.
  • Experience with QuickBooks or similar bookkeeping software is preferred.
  • Prior clerical experience involving data entry, filing systems, proofreading, and document organization.
  • Excellent organizational skills with the ability to multitask efficiently in a fast\-paced setting.
  • Strong communication skills, including phone etiquette and customer service expertise; bilingual ability is a plus.
  • Knowledge of multi\-line phone systems, calendar management, and general office procedures.
  • Previous experience in medical or dental receptionist roles is advantageous but not required.
  • Demonstrated time management skills with the ability to prioritize tasks effectively while maintaining attention to detail.
