Sun Valley Swim \& Tennis – General Manager Role
The General Manager oversees the overall operation of the Sun Valley Swim and Tennis Facility with the goal of establishing an inclusive community for members to enjoy the pool, play tennis, and socialize outdoors in a clean and safe environment. The general manager works with the board to establish facility rules and engages with members to help ensure a vibrant community.
Leadership
- Engage with members, staff and the board in a professional and courteous manner
- Mediate/solve disputes or disagreements between members and/or staff as needed in a respectful manner while adhering to the rules and maintaining confidentiality
- Effective communicator and problem\-solving skills
- File permit applications with Town of Lexington (Board of Health: dumpster \& pool, Bldg Dept: pool), prepare for and complete on\-site inspections
- Maintain list of CPO and Lifeguard Certifications
- Ensure proper signs are posted
- Backwash filters, re\-fill Acid barrel, water chemistry review (weekly)
- Arrange facility maintenance as needed (painting, power washing, waterproof fence, buildings \& roofs, mechanicals \& equipment etc.)
- Arrange for the following with vendors:
- seasonal pool opening \& closing \- Fillion Associates
- seasonal water service turn on, snake drains \& turn off/blow lines \- SDH Plumbing
- seasonal irrigation turn on \& turn off/blow lines \- Nevola Sprinklers
- dumpster service start April/May \& stop Nov – Republic Services
- Annual tree\-care program – SavATree
- landscaping services – CLIPCO (Cliff Cunningham)
- pest control – Eliminator Pest (Joe Testa)
- tennis nets up/down, BBQ, other misc. facility tasks with Handyman Gino Mauriello
- confirm/identify Snack Bar operators (Wicks Family) \& support as needed
- Update Smart\-Lock permissions for vendors \& tennis members, replace locks as needed
- Maintain Lap Lane and Court reservation system (Acuity)
- Order pool chemicals \& ensure sufficient inventory is on hand
- chlorine, acid, pH boost, alkalinity boost, water test kits \& chemical re\-agents
- Order toilet paper \& paper towels (HT Berry)
- Purchase Supplies as needed (BJs/Amazon etc)
- cleaning supplies, shampoo \& body wash
- first aid
- charcoal for grill
- paper products, refreshments, prizes for special events
- lifeguard whistles, swim test wrist bands
- swim team: swim caps, stop watches, swim cards, gift for swimmers
- Hire Lifeguards (12\-15 core staff, plus 10\+ subs)
- 10 lifeguards should also hold WSI (Water Safety Instructor) certification
- Hire Head Swim Coach and 4 Assistant Coaches (typically from lifeguard staff)
- Hire Assistant Manager
- Work with board to hire/re\-hire Tennis Pro \& Tennis Assistant(s)
- Complete work permit applications for all staff under age 18
- Generate employment contracts for all staff to sign along with Code of Conduct and Lifeguard Expectations
- On\-board new employees in Payroll System (Paychex), reactivate returning employees
- Review Timecards \& Process Payroll for hourly staff (bi\-weekly)
- Process Payroll for salary staff (monthly – coordinate with bi\-weekly during summer months)
- Create and distribute lifeguard \& swim instructor schedule
- Order (or provide reimbursement) for lifeguard suits
- Order lifeguard t\-shirts (Custom Ink) \& swim team coach polos (Tricon)
- Oversee lifeguard training (new and returning)
- Collaborate with Adlar Su to implement Lifeguard In\-Service and Recertification Program
- Develop membership plan/process with Membership Chair
- Update membership website forms \& payment links
- E\-mail renewals/reminders to returning members, track payments and update membership list
- E\-mail wait list invitations, track payments and update membership list
- MAIL membership packet to all SVA non\-member properties
- Maintain database of SVA properties and bond status
- Maintain Wait List, update payment status, e\-mail updates 2/year, Free Visit to top 50 families
- Provide membership counts/reports to chair and officers
- Upload Membership List to OneTap (check\-in app) and Square (payments/guest tracking)
- Follow up on payments for all accounts receivable (membership, wait list, programs, events, guest fees)
- Prepare report of revenue (breakdown by category and source)
- Pick up mail at PO Box
- Prepare deposits for treasurer (checks and cash)
- Pay vendor invoices (Treasurer pays electric \& insurance, signs payroll checks)
- Maintain record of all expenses in Excel and file paper copies of receipts/invoices by vendor
- Obtain certificates of insurance from all contractors providing service on Sun Valley property
- Provide staff /facility info/reports to treasurer as needed for insurance applications/audits
- Maintain and update Sun Valley Website \-\- program info, events, registration forms (WIX \& 123Formbuilder)
- Maintain/update segmented e\-mail lists (membership, wait list, SVA), write and send e\-mails to community re: membership, (at least monthly) program/events e\-news, weather closures, safety announcements, etc. (MAILCHIMP)
- Monitor SV e\-mail and respond to inquiries, forward to appropriate board officer when necessary
- Swim Lessons: renew facility agreement with Red Cross, set dates/class schedule, manage sign\-ups, generate class lists for teachers, track pass/fail status at conclusion, ensure WSIs are submitting course records to Red Cross
- Swim Team: work with league to finalize schedule and handbook, manage signups for team \& generate roster for coaches, order swim caps, host 2\-3 home meets (champs every 6 years), track participation for tenure awards, order gift for all swimmers, trophies for 5/10 yr, medal for age\-outs, support \& supplies for banquet
- Tennis Lessons, Cardio Tennis \& Tennis Tournaments: set schedule with Tennis Pro, manage sign\-ups, follow up on outstanding payments, generate class/player lists
- set \& communicate dates, create registration/RSVP, check\-in list, ensure adequate staffing, supply procurement, food/catering as needed
