We are seeking a detail\-oriented and reliable Title Processing Assistant to support our Senior Title Processor in a fast\-paced title processing office. This role is ideal for someone with administrative experience and a working knowledge of the title or real estate industry who thrives in an organized, deadline\-driven environment.
Key Responsibilities:
- Perform accurate data entry related to title orders and transactions
- Assist with file setup, document preparation, and processing support
- Conduct follow\-up via phone and email with clients, lenders, and third parties
- Track and update file status to ensure timely closings
- Maintain organized digital and physical files
- Support the Senior Processor with daily administrative tasks
- Ensure compliance with company procedures and industry standards
- Previous experience in the title, escrow, or real estate industry preferred
- Strong data entry skills with high attention to detail
- Excellent communication skills (phone and email)
- Ability to multitask and manage deadlines effectively
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Professional demeanor and strong organizational skills
- Experience working in a title processing company or closing office
- Familiarity with title software systems (SoftPro, Qualia, or similar)
- Understanding of real estate transactions and closing processes

- Conduct thorough research on property records, title histories, and legal documents to verify ownership and encumbrances
- Prepare and review title reports, affidavits, and related documentation to ensure accuracy and completeness
- Assist with the processing of title transfers, including document preparation and submission to relevant authorities
- Utilize GIS tools to analyze property boundaries, zoning information, and geographic data relevant to titles
- Collaborate with clients, real estate agents, attorneys, and internal teams to facilitate clear communication and timely resolution of issues
- Maintain organized records of all title processing activities in compliance with legal standards and company policies
- Support senior team members with additional administrative tasks related to real estate transactions
- Prior experience or familiarity with real estate law, title processing or law office procedures is preferred but not required
- Strong research skills with the ability to interpret legal documents and property records accurately
- Knowledge of GIS software or geographic data analysis is a plus
- Excellent customer service skills with a professional demeanor when interacting with clients and stakeholders
- Experience working in a law office or legal environment is advantageous
- Ability to prioritize tasks efficiently in a fast\-paced setting while maintaining attention to detail
