Now, we’re looking for a polished, proactive, service\-oriented Office Operations Coordinator to support alignment of diverse departments and strategic project teams, leveraging talent, communications and tech. This key position will be located on\-site in our beautiful national headquarters located in the heart of downtown Columbia, SC.
This highly visible position blends internal communications, office services, C\-suite support, event planning, and administrative responsibilities. You’ll report to our Chief of Staff, wear the virtual hats of a quality assurance ambassador, special project liaison, and culture warrior. Further, you will deliver the kind of warm, professional first impressions that RSi expects for every visitor and caller to our headquarters office while growing your own capabilities.
What You'll Do:
- Serve as the main on\-site receptionist: greeting guests, answering/directing calls, and setting a polished tone for our headquarters.
- Maintain a clean, welcoming, and brand\-aligned front office and reception area.
- Coordinate mail, packages, and deliveries with Compliance, Tech, and Operations staff.
- Liaise with vendors, IT, and property management as needed.
- Act as Executive Assistant to select members of the Executive Team, helping manage scheduling, logistics, and project follow\-ups.
- Prepare meeting spaces, coordinate hospitality and catering, and support logistics for client visits and company events.
- Assist in managing venue contracts, travel booking, and guest services for company meetings and VIPs.
- Partner with the Chief of Staff team to support internal communications, marketing projects, and strategic initiatives.
- Serve as a “second set of eyes” for proofreading and content quality control across internal and external materials.
- Create presentation decks and communication pieces using brand templates.
- Assist with basic market research, data gathering, and project coordination for marketing and HR campaigns.
- Support company initiatives like RSi Cares, leadership development programs, employee events, and communications rollouts.
- Manage company swag inventory and oversee fulfillment using our online store dashboard.
- Perform other related duties as assigned.
- At least 7\-10 years of experience in client\-facing or administrative roles—ideally in office management, human resources, retail customer service, business operations, and/or marketing.
- A natural communicator with exceptional attention to detail and strong proofreading skills.
- Polished, professional demeanor with a warm and approachable personality.
- Excellent multitasker—able to manage competing priorities with calm and grace.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Teams, Outlook), database and reporting systems; experience with Canva, AI tools, or other marketing apps is a plus.
- A problem\-solver who thrives in a dynamic, team\-focused environment.
- Bachelor’s degree in business, marketing, psychology, human resources, or similar preferred.
