Duties

  • Operate multi\-line phone systems to handle incoming calls efficiently, providing exceptional customer service and support.
  • Perform data entry tasks using Microsoft Office, Google Workspace, and specialized software like QuickBooks for bookkeeping and record keeping.
  • Organize files and maintain filing systems—both digital and physical—to ensure quick retrieval of documents.
  • Support office management activities such as calendar management, appointment scheduling, and coordinating meetings.
  • Assist with proofreading, editing correspondence, and preparing reports to ensure accuracy and professionalism.
  • Provide customer support by addressing inquiries promptly and courteously, fostering positive interactions with clients and visitors.
  • Handle basic bookkeeping duties including invoicing, expense tracking, and maintaining financial records.
  • Support medical or dental reception duties if applicable, including patient check\-in/out processes and appointment confirmations.
  • Contribute to team efficiency through effective time management, prioritizing tasks, and managing multiple responsibilities simultaneously.
  • Qualifications

  • Positive attitude.
  • Proven experience in office administration or clerical roles with strong organizational skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and familiarity with QuickBooks or similar accounting software.
  • Excellent computer literacy with the ability to learn new software quickly.
  • Strong typing skills with high accuracy; attention to detail is essential for proofreading and data entry tasks.
  • Bilingual abilities are a plus to serve diverse client needs effectively.
  • Previous experience as a receptionist—medical or dental—is advantageous but not required.
  • Exceptional customer service skills combined with professional phone etiquette and interpersonal communication abilities.
  • Ability to manage multiple priorities efficiently while maintaining a positive attitude in a fast\-paced environment.
