Office Manager

We’re seeking an Office Manager who embodies these values—someone able to balance the analytical discipline of coordination with the human dimension that clients, residents, and team members deserve.
This role oversees the day\-to\-day functioning of our property management office. The right candidate will bring organization, initiative, and a solid understanding of real estate–related workflows. You’ll support a team focused on operational excellence, compliance, and enduring owner and tenant relationships—all central to preserving and advancing property value.
Operational Coordination (50%)
Direct front\- and back\-office operations with precision and responsiveness. You’ll manage inbound calls, emails, and walk\-in inquiries; triage tenant requests; and route issues to the appropriate team members or vendors to ensure timely, professional responses. You will track and document work orders, verify invoices for accuracy, and assist with reviewing higher\-value repair proposals to maintain consistency and cost discipline. Regular checklists, calendar management, and organized file systems will anchor accountability, supported by periodic audits of records and office procedures.
Relationship and Support (25%)
Strong relationships rest on deliberate communication. Through courteous, consistent interaction with owners, tenants, vendors, and internal staff, you’ll help cultivate trust and a positive experience for everyone who engages with the office. You will support at\-risk or escalated accounts by coordinating information, scheduling meetings, and ensuring follow\-through on action items so that concerns are handled promptly and professionally.
Leasing and Administrative Support (25%)
You’ll support the leasing function for single\-family rentals by preparing listing materials, coordinating showings, processing applications, and organizing lease documentation. Working closely with leasing and operations leadership, you will help maintain accurate records for new and renewing leases, track key dates, and ensure that all paperwork is complete and properly filed. Your focus will remain on keeping information accurate, accessible, and up to date so the team can execute leases efficiently and maintain high standards of service.
Technical Proficiency
Daily use of platforms such as Buildium, Service Fusion, Rently, MLS, and Slack will support your performance. You’ll update property and tenant records, log service requests, maintain digital and physical filing systems, and standardize document templates. You’ll collaborate with team members, vendors, and, when needed, legal or accounting resources to ensure that office processes run smoothly and information flows reliably.
Qualifications
- Demonstrated excellence in office administration, organization, and client service
- Experience supporting leasing, tenant relations, facilities coordination, or property management operations
- Strength in conflict de‑escalation and problem\-solving, with a steady, service\-oriented mindset
- Capacity to prioritize multiple tasks and support a team managing numerous properties and deadlines
