Location: Hauppauge, NY – In‑Person Role
Schedule: Monday–Friday, 8:00 AM – 5:00 PM
Salary: $45,000 – $55,000 annually, depending on experience
About the Role
We are looking for a friendly, organized, and detail‑oriented HR Administrative Coordinator to support the daily administrative operations of our Human Resources department. This is a great opportunity for someone early in their HR career who enjoys structured work, staying organized, and supporting a variety of HR processes in a collaborative office environment.
This role works closely with HR leadership and plays an important part in keeping our HR systems, files, and schedules running smoothly. Success in this position comes from accuracy, follow‑through, and the ability to manage multiple tasks while maintaining confidentiality.
What You’ll Do
HR Administration \& Records
- Assist with employee file audits by reviewing files against established checklists
- Scan, upload, organize, and maintain physical and digital personnel records
- Prepare and maintain new hire and employee personnel folders
- Track documentation and follow up on missing or incomplete items
- Serve as a point of contact between HR and benefits administrators, insurance providers, and external vendors
- Help coordinate benefits‑related documentation and administrative follow‑up
- Maintain accurate benefits records and files
- Post approved job openings to designated job boards
- Conduct initial phone screens using provided guidelines
- Coordinate interview scheduling and candidate communications
- Support onboarding logistics and new hire paperwork
- Help coordinate performance review timelines and prepare supporting materials
- Schedule and track 30/60/90‑day employee check‑ins
- Assist with general HR calendars, reminders, and tracking
- Work with team to keep employee birthday and anniversary boards up to date
- Maintain required labor law posters and internal job posting boards
- Support HR projects and administrative tasks as needed
- Associate’s or Bachelor’s degree in Human Resources or a related field OR approximately 1 year of experience in an HR administrative or support role
- Strong attention to detail and excellent organizational skills
- Comfortable working with both paper files and digital systems
- Professional and approachable communication style
- Ability to handle confidential information with discretion
- Proficiency in Microsoft Office
- Experience with HR systems is a plus, specifically BambooHR
