Job Overview
We are seeking a dynamic and detail\-oriented Bookkeeper / Administrative Assistant to join our team! This vital role combines accurate financial record\-keeping with efficient administrative support to ensure smooth daily operations. The ideal candidate will be energetic, highly organized, and possess excellent communication skills, ready to handle a variety of clerical and bookkeeping tasks with enthusiasm. Responsibilities
- Manage accounts receivable and payable using QuickBooks, ensuring all transactions are accurately recorded and reconciled regularly
- Handle front desk duties, greeting visitors and clients warmly while maintaining a professional office environment
- Operate multi\-line phone systems with excellent phone etiquette, directing calls efficiently and professionally
- Support office management tasks such as filing, data entry, proofreading, and maintaining organized records
- Assist with calendar management and scheduling appointments for team members or clients
- Provide exceptional customer service by responding promptly to inquiries via phone or email, offering support and information as needed
- Perform general clerical duties including typing, photocopying, document preparation, and supporting customer support efforts
- Proven experience in office management, clerical work, or administrative roles with strong organizational skills
- Proficiency in QuickBooks for bookkeeping tasks and Microsoft Office Suite (Word, Excel, Outlook)
- Excellent computer literacy and familiarity with Google Workspace tools (Gmail, Drive, Calendar)
- Strong data entry skills with high accuracy and attention to detail; ability to proofread documents effectively
- Bilingual abilities are a plus to serve diverse client needs effectively
- Experience in customer service or as a receptionist (medical or dental reception experience is advantageous)
- Knowledge of multi\-line phone systems and phone etiquette essential for professional communication
- Ability to manage time efficiently, prioritize tasks effectively, and handle multiple responsibilities simultaneously
- Personal assistant experience or office experience preferred but not required
