We are seeking a dynamic and highly organized Office Manager to oversee daily administrative operations and ensure the smooth functioning of our office environment. Responsibilities

  • Manage front desk operations, including greeting visitors, handling inquiries, and directing calls with professionalism and courtesy
  • Operate multi\-line phone systems, answer incoming calls promptly, and route messages accurately
  • Oversee calendar management for meetings, appointments, and office events to ensure optimal scheduling
  • Maintain organized filing systems, perform data entry, and ensure accurate record\-keeping using digital tools like Google Workspace and Microsoft Office
  • Handle clerical tasks such as proofreading documents, preparing correspondence, and managing office supplies inventory
  • Support bookkeeping activities using QuickBooks or similar accounting software to track expenses and invoices
  • Provide exceptional customer service by assisting clients, vendors, and team members with their needs in a friendly and efficient manner
  • Skills

  • Proven experience in office management or administrative roles with strong organizational skills
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
  • Excellent phone etiquette with experience managing multi\-line phone systems and providing customer support
  • Bilingual abilities are highly valued to effectively communicate with diverse populations
  • Strong typing skills with attention to detail for data entry, proofreading, and document preparation
  • Familiarity with clerical procedures such as filing, record keeping, and calendar management
  • Knowledge of medical or dental receptionist duties is a plus but not required; experience in personal assistant or medical receptionist roles is beneficial
  • Ability to multitask efficiently while maintaining high levels of accuracy and professionalism
  • Effective time management skills to prioritize tasks in a fast\-paced environment
