Job Summary
We are seeking a highly organized and proactive Executive Assistant to provide exceptional support to our CEO. Duties
- Manage and maintain the CEO’s calendar, scheduling meetings, appointments, and travel arrangements with efficiency and foresight
- Prepare, review, and proofread correspondence, reports, presentations, and other documents to ensure clarity and accuracy
- Coordinate internal and external meetings, including logistics, catering, and technology setup
- Handle incoming calls with professionalism using multi\-line phone systems; screen and direct inquiries appropriately
- Organize files, manage records, and oversee document filing systems both digitally and physically
- Assist with event planning for company functions, conferences, or special projects to ensure seamless execution
- Support bookkeeping tasks using QuickBooks for expense tracking and invoice processing
- Conduct data entry, transcription, and proofreading tasks to maintain high\-quality documentation
- Oversee office management duties such as supply procurement, facility maintenance coordination, and front desk responsibilities
- Utilize Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools for daily tasks
- Facilitate project coordination by tracking deadlines, deliverables, and follow\-up actions
- Use DocuSign for electronic signatures on contracts or important documents as needed
- Proven experience as an executive assistant or personal assistant supporting senior leadership in a fast\-paced environment
- Strong organizational skills with the ability to multitask efficiently under tight deadlines
- Excellent communication skills—both written and verbal—with professional phone etiquette
- Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry tools
- Experience with office management software such as QuickBooks for bookkeeping purposes
- Skilled in event planning from logistics to execution for corporate functions or meetings
- Exceptional proofreading and transcription abilities ensuring accuracy in all documentation
- Knowledge of multi\-line phone systems and calendar management tools like Microsoft Outlook Calendar or Google Calendar
- Ability to handle confidential information discreetly with integrity
- Strong organizational skills complemented by attention to detail and proactive problem\-solving abilities
