Duties

  • Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly
  • Manage multi\-line phone systems, directing calls efficiently and courteously using proper phone etiquette
  • Handle appointment scheduling, calendar management, and coordinate meetings with precision and attention to detail
  • Perform data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, and other office management tools
  • Support clerical tasks such as proofreading documents, managing correspondence, and organizing office supplies
  • Assist with basic bookkeeping tasks utilizing QuickBooks or similar accounting software when needed
  • Provide exceptional customer support by addressing inquiries promptly and professionally, both in person and via phone or email
  • Experience

  • Previous office management or administrative experience in a fast\-paced environment is highly preferred
  • Proven clerical experience with strong organizational skills and attention to detail
  • Familiarity with multi\-line phone systems and excellent phone etiquette skills
  • Bilingual abilities are a plus to effectively communicate with diverse clients and team members
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry tools
  • Experience in customer service roles such as dental or medical receptionist is advantageous
  • Personal assistant or office support experience that demonstrates strong time management and organizational skills
