Duties

  • Greet visitors and clients at the front desk with professionalism and warmth, ensuring a positive first impression
  • Answer multi\-line phone systems promptly, directing calls accurately and courteously while practicing excellent phone etiquette
  • Manage calendar schedules, appointments, and meetings using Microsoft Office and Google Workspace tools
  • Perform data entry, filing, and document proofreading to maintain accurate records and ensure clarity in all correspondence
  • Handle incoming and outgoing mail, packages, and deliveries efficiently while maintaining organized filing systems
  • Support office management tasks such as supply inventory, basic bookkeeping using QuickBooks, and maintaining office equipment
  • Provide exceptional customer service by assisting clients or visitors with inquiries or support needs
  • Requirements

  • Some computer skills including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and basic computer literacy
  • Excellent organizational skills with the ability to multitask effectively in a fast\-paced environment
  • Bilingual abilities are highly preferred to assist diverse clients and team members
  • Experience with multi\-line phone systems, calendar management, data entry, and filing systems is essential
  • Knowledge of QuickBooks for bookkeeping tasks is a plus but not mandatory; training can be provided
  • Demonstrated customer service skills with professional phone etiquette and a friendly demeanor
  • Ability to handle confidential information discreetly while maintaining high accuracy in proofreading and data entry tasks
  • Filing, invoicing, and taking messages.
