We are seeking a dynamic and highly organized Administrative Assistant to join our team! Responsibilities

  • Serve as the first point of contact at the front desk, greeting visitors and managing multi\-line phone systems with professionalism and courtesy
  • Handle incoming calls, direct inquiries appropriately, and maintain excellent phone etiquette
  • Manage calendar scheduling, appointment setting, and coordinate meetings for staff and executives
  • Perform data entry, maintain accurate filing systems, and update records using Microsoft Office, Google Workspace, and other office management tools
  • Assist with bookkeeping tasks such as invoicing and basic ProCare entries to support financial accuracy
  • Provide exceptional customer service by supporting families, vendors, and internal teams with clerical needs and information requests
  • Support office management duties including supply inventory, filing, proofreading documents, and ensuring overall office organization
  • Skills

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and basic computer literacy
  • Familiarity with multi\-line phone systems and professional phone etiquette
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Experience with bookkeeping software is a plus for handling financial tasks accurately
  • Excellent typing speed and data entry skills to ensure efficiency in document processing
  • Strong time management skills to prioritize tasks effectively in a fast\-paced environment
  • Previous experience as a receptionist or personal assistant is advantageous
  • Childcare and 40 DCF clock hours a plus
