Duties

  • Manage and maintain detailed calendars using Microsoft Outlook Calendar and Google Workspace, scheduling appointments, meetings, and events efficiently
  • Coordinate and organize company events, meetings, and travel arrangements with precision and professionalism
  • Handle all aspects of office management including filing, data entry, front desk duties, and maintaining office supplies
  • Provide executive administrative support such as proofreading documents, transcription of audio files, and preparing reports using Microsoft Office tools
  • Manage correspondence via multi\-line phone systems with excellent phone etiquette; respond promptly to inquiries and direct calls appropriately
  • Conduct bookkeeping tasks using QuickBooks; perform basic bookkeeping, invoicing, and expense tracking
  • Support project coordination efforts by tracking deadlines, preparing agendas, and ensuring timely completion of tasks
  • Requirements

  • Proven experience as a Personal Assistant or in an administrative support role with strong office management skills
  • Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry software
  • Excellent organizational skills with the ability to multitask effectively in a fast\-paced environment
  • Strong typing skills combined with meticulous proofreading and transcription abilities
  • Familiarity with QuickBooks for bookkeeping and basic financial record keeping
  • Exceptional communication skills with professional phone etiquette and customer service experience
  • Ability to handle confidential information discreetly while maintaining a high level of professionalism
  • Experience managing multi\-line phone systems, calendar management tools like Microsoft Outlook Calendar, and electronic signature platforms such as DocuSign
