- Provide high\-level executive support focused on calendar management, communication, and strategic prioritization
- Manage and prioritize the CEO’s calendar, including scheduling, travel, and logistics
- Serve as a liaison for internal and external stakeholders
- Draft and manage correspondence, presentations, and communications on behalf of the CEO
- Screen communications and ensure timely follow\-up
- Conduct research and prepare materials to support meetings and decision\-making
- Handle confidential information with discretion
- Prepare agendas, briefing materials, and talking points for meetings
- Track follow\-ups and ensure completion of key action items
- Provide administrative and coordination support to the Chief of Staff, Executive Team and Senior Leadership
- Prepare agendas, materials, and presentations for SLT and board meetings
- Take and distribute meeting minutes, capturing key decisions and action items
- Track follow\-ups and reinforce accountability across leadership
- Support coordination of executive\-level meetings and initiatives
- Support donor relations and external engagement efforts
- Interface professionally with donors, board members, and key partners
- Assist with donor stewardship activities, communications, and meeting coordination
- Maintain and update donor data in CRM systems (e.g., Salesforce)
- Prepare materials for fundraising campaigns and donor engagement
- Support execution and tracking of organizational priorities and special initiatives
- Monitor progress on key initiatives (ReBUILD LA, events, strategic projects)
- Follow up with internal leaders on deliverables, timelines, and commitments
- Facilitate cross\-functional alignment and communication to move projects forward
- Assist with planning and execution of special projects and events

- 3–5 years of experience supporting senior executives (C\-suite preferred)
- Strong organizational and time management skills with the ability to handle multiple priorities
- Excellent written and verbal communication skills, including drafting correspondence and presentations
- High level of discretion and ability to handle confidential information
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Teams)
- Experience with CRM systems such as Salesforce (or similar) preferred
- Ability to interact professionally with executives, board members, donors, and external stakeholders
- Proven ability to manage complex calendars, prioritize competing demands, and anticipate executive needs
- Experience supporting meetings, tracking action items, and coordinating projects
- Ability to track projects, follow up on action items, and ensure accountability
- Strong project coordination skills, with the ability to support cross\-functional initiatives
- Experience supporting events, special projects, or organizational initiatives
- Nonprofit and/or board support experience preferred but not required

GENERAL DESCRIPTION
The Executive Assistant provides high\-level, confidential administrative and strategic support to the President \& CEO, ensuring efficient daily operations and enabling focus on organizational priorities. This role serves as a key partner to executive leadership, requiring strong judgment, exceptional communication skills, and the ability to manage competing priorities, sensitive information, and cross\-functional initiatives. The ideal candidate is proactive, highly organized, and experienced in executive support, board relations, and stakeholder engagement within a fast\-paced environment.
