Duties
- Coordinate all transaction details, including preparing and reviewing contracts, disclosures, and addenda with accuracy and efficiency
- Manage calendar appointments, deadlines, and key milestones to ensure timely completion of transaction steps
- Communicate proactively with clients, agents, lenders, escrow officers, and vendors via multi\-line phone systems and email to keep everyone informed
- Maintain meticulous records through filing systems, data entry, and document management using tools like Google Workspace and Microsoft Office
- Oversee office management tasks such as answering front desk inquiries, handling phone etiquette professionally, and supporting administrative functions
- Assist with bookkeeping tasks using QuickBooks or similar software to track expenses and commissions
- Proofread all transaction documents for accuracy and clarity before submission or signing
- Proven experience in office management or administrative roles within real estate or related fields such as dental or medical receptionists or personal assistants
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Excellent organizational skills with the ability to multitask efficiently in a fast\-paced environment
- Bilingual abilities are a plus to support diverse client needs
- Prior clerical experience involving data entry, filing, proofreading, and customer service is highly desirable
- Familiarity with office equipment including multi\-line phone systems and front desk operations
- Experience with bookkeeping software like QuickBooks or similar tools is beneficial
