Duties

  • Coordinate all transaction details, including preparing and reviewing contracts, disclosures, and addenda with accuracy and efficiency
  • Manage calendar appointments, deadlines, and key milestones to ensure timely completion of transaction steps
  • Communicate proactively with clients, agents, lenders, escrow officers, and vendors via multi\-line phone systems and email to keep everyone informed
  • Maintain meticulous records through filing systems, data entry, and document management using tools like Google Workspace and Microsoft Office
  • Oversee office management tasks such as answering front desk inquiries, handling phone etiquette professionally, and supporting administrative functions
  • Assist with bookkeeping tasks using QuickBooks or similar software to track expenses and commissions
  • Proofread all transaction documents for accuracy and clarity before submission or signing
  • Experience

  • Proven experience in office management or administrative roles within real estate or related fields such as dental or medical receptionists or personal assistants
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Excellent organizational skills with the ability to multitask efficiently in a fast\-paced environment
  • Bilingual abilities are a plus to support diverse client needs
  • Prior clerical experience involving data entry, filing, proofreading, and customer service is highly desirable
  • Familiarity with office equipment including multi\-line phone systems and front desk operations
  • Experience with bookkeeping software like QuickBooks or similar tools is beneficial
