Overview
We are seeking a highly organized and proactive Executive Assistant to support our CEO in driving the company's strategic initiatives and daily operations. Responsibilities
- Manage and maintain the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements using Microsoft Outlook Calendar and Google Workspace.
- Act as the primary point of contact for internal and external communications, demonstrating professional phone etiquette across multi\-line phone systems.
- Prepare, proofread, and transcribe documents, reports, presentations, and correspondence with precision and attention to detail.
- Coordinate various projects and events, including planning logistics, booking venues, managing invitations, and overseeing event execution.
- Handle office management duties such as filing, data entry, bookkeeping using QuickBooks, and maintaining organized records.
- Support personal assistant responsibilities by managing personal appointments and errands as needed for the CEO.
- Utilize office software tools like Microsoft Office Suite to create spreadsheets, presentations, and reports efficiently.
- Conduct clerical tasks such as photocopying, faxing, filing, and managing front desk operations to ensure a welcoming environment.
- Maintain confidentiality of sensitive information while providing exceptional customer service to visitors and staff.
- Assist with onboarding new team members by coordinating orientation schedules and preparing necessary documentation.
- Proven experience in executive administrative support or as a personal assistant with strong organizational skills.
- Proficiency in Microsoft Office (Word, Excel PowerPoint), Google Workspace (Gmail, Docs), and data entry tools.
- Excellent typing speed combined with transcription and proofreading abilities for accurate document preparation.
- Skilled in event planning, project coordination, office management, and bookkeeping (QuickBooks experience preferred).
- Strong calendar management capabilities using Microsoft Outlook Calendar or similar scheduling tools.
- Exceptional phone etiquette skills across multi\-line systems coupled with customer service expertise.
- Knowledge of office procedures such as filing systems, front desk operations, and clerical tasks to ensure seamless workflow.
- Ability to handle multiple priorities efficiently while maintaining attention to detail under tight deadlines.
