Job Title: Fire Sprinkler Office Coordinator

Location: Any (Remote)

Job Type: Full\-Time

Job Summary:

We are seeking a highly organized and detail\-oriented Office Coordinator to manage all operational support related to fire sprinkler projects/jobs. This role is essential in ensuring smooth communication between clients, technicians, inspectors, and management while maintaining accurate documentation and scheduling.

Key Responsibilities:

  • Manage desk operations.
  • Handle incoming calls, and provide prompt, courteous customer service
  • Coordinate and schedule fire sprinkler installations, inspections, and service calls
  • Maintain job files, reports, and inspection records
  • Communicate with customers, contractors, and inspectors
  • Prepare proposals, quotes, work orders and reports when needed.
  • Track project progress and follow up on outstanding tasks
  • Order materials and coordinate with vendors when needed
  • Assist with general office duties
  • Oversee filing systems, document proofreading, and ensure all paperwork complies with industry standards
  • Support bookkeeping activities using Jobber
  • Assist with calendar management and scheduling appointments for team members and clients
  • Provide general office management support including supply inventory, mail distribution, and administrative tasks specific to the fire sprinklers industry
  • Preferred Qualifications:

  • Bilingual, be fluid in English and Spanish.
  • Experience with fire sprinkler systems or fire protection services
  • Familiarity with inspection scheduling and compliance documentation
  • Experience using job management or dispatching software
  • Strong typing skills along with attention to detail for proofreading documents and data entry tasks
  • Effective time management skills to prioritize tasks and meet deadlines consistently
