Position Summary
The Administrative Assistant provides high\-level administrative, operational, and support to the Executive Director and team of Autism Society San Diego. This role is critical to ensure efficient daily operations, effective communication, and smooth coordination across programs, staff, board members, and community partners. The ideal candidate is highly organized, proactive, detail\-oriented, and aligned with the mission of supporting individuals with autism and their families.
Key Responsibilities
Administrative Support
- Prepare, format, and send thank\-you donor letters and acknowledgment notes in a timely and accurate manner with support of the Director of Development
- Maintain donor records and update contact information in the database or CRM system
- Assist with fundraising activities, events, and campaigns by coordinating logistics and preparing materials
- Coordinate board and committee meetings, including scheduling, materials preparation and communications
- Organize files, maintain records and ensure confidentiality of sensitive information
- Order office supplies and support general office operations
- Maintain donor records and update contact information in the database
- Support onboarding and administrative needs of volunteers
- Coordinate logistics for events, trainings and community meetings
- Assist with basic bookkeeping tasks such as invoice processing, expense reports, and tracking budgets
- Help track deadlines and deliverables for programs and funding requirements
- Perform other administrative duties as assigned by the Executive Director
- 3\+ years of experience in administrative role, preferably in a nonprofit or mission\-driven organization
- Strong organizational, time\-management, and multitasking skills
- Excellent written and verbal communication skills
- High level of professionalism, discretion, and attention to detail
- Proficiency with Microsoft Office and Google Workspace
- Ability to work independently and anticipate needs
- Experience supporting senior leadership or boards of directors
- Familiarity with nonprofit operations, fundraising, or grant reporting
- Experience working with or supporting individuals with disabilities or community\-based organizations
- Knowledge of CRM or database systems
- Strong interpersonal and relationship\-building skills
- Ability to manage competing priorities in a fast\-paced environment
- Problem\-solving mindset with a proactive approach
