JOB PURPOSE
The Office Manager plays a crucial role in ensuring the efficient operation of the Cancer and Blood Specialty Clinic. They oversee
administrative tasks, manage staff, and facilitate communication between healthcare professionals, patients, and other
stakeholders.
ESSENTIAL JOB FUNCTIONS
1\. Relay information from administration to staff effectively
2\. Ensure EHR calendar accuracy and that medical assistants check in and out patients correctly
3\. Oversee that records are appropriately charted before appointments
4\. Ensure all tasks are completed and records are maintained accurately
5\. Possess basic knowledge of eligibility and billing to address patient queries and triage complex issues to the billing
department
6\. Review Medication Administration Records (MARs) for nurses
7\. Perform data entry for MIPS
8\. Distributed and scan satisfaction surveys
9\. Report incidents to HR, issue verbal warnings, and manage disciplinary actions
10\. Approve PTO requests
11\. Conduct payment reconciliation
12\. Ensure time sheets are accurate, monitor overtime, and enforce compliance with meal periods and rest breaks
13\. Ensure refrigerators are locked and temperatures are checked daily
14\. Check and monitor oxygen tank levels to ensure they meet safety and operational standards
15\. Monitor inventory and perform cycle counts
16\. Review and check adjustment reports
17\. Perform all other job duties as required
QUALIFICATIONS AND EXPERIENCE
1\. High school diploma or equivalent
2\. Minimum of 3\-5 years of experience in an office management or supervisory role, preferably in a healthcare setting
3\. Strong organizational and multitasking abilities
4\. Excellent communication and interpersonal skills
5\. Proficiency in EHR systems, Microsoft Office Suite, and billing software
6\. Ability to handle sensitive information with confidentiality
7\. Basic knowledge of medical billing and eligibility processes
WORKING CONDITIONS AND PHYSICAL REQUIREMENTS
1\. The Office Manager will work in an outpatient clinic setting during regular clinic hours
2\. Prolonged periods of sitting at a desk and working on a computer
3\. Occasional lifting of office supplies or medical inventory (up to 25 pounds)
4\. Frequent walking within the office and clinical areas
DIRECT REPORTS
1\. The Office Manager has medical assistants, front desk staff, pharmacy technicians, and other administrative support staff
as direct reports.
Pay: From $53,123\.55 per year
