The Village of Lake Hallie Police Department is seeking a dependable and detail\-oriented Part\-Time Office Assistant to support daily operations within the department. This role is essential to maintaining efficient administrative workflows and serving as a professional point of contact for the public and internal staff.
Under the direction of the Police Chief, this position provides a wide range of clerical and administrative support functions that contribute to the overall effectiveness of the department. The ideal candidate is organized, adaptable, and committed to delivering high\-quality service in a professional environment.
Key Responsibilities
- Serve as a front desk point of contact, greeting visitors and directing inquiries with professionalism and discretion
- Answer and manage a multi\-line phone system, relay messages, and coordinate internal communications
- Perform data entry, maintain accurate records, and manage filing systems
- Prepare, proofread, and process reports and correspondence
- Support scheduling of appointments, meetings, and department\-related activities
- Assist with daily office operations including mail processing, supply ordering, and general clerical tasks
- Provide responsive and courteous customer service to the public and department personnel
- Maintain strict confidentiality when handling sensitive reports, records, and materials
- High school diploma or equivalent required
- 3–5 years of administrative or office experience, preferably in a customer service\-oriented environment
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Excellent organizational skills with the ability to manage multiple priorities
- Strong attention to detail and accuracy in data entry and document management
- Professional communication skills, both written and verbal
- Ability to handle sensitive and confidential information with discretion
- Experience supporting a public safety or municipal office
- Familiarity with office management systems and basic bookkeeping functions
