Health, Safety and Environmental Administrative Assistant

JOB SUMMARY
The HSE Administrative Assistant plays a vital role in ensuring compliance with regulatory standards and safety protocols within an organization. This position involves supporting the development, implementation, and monitoring of safety programs, policies, and procedures to maintain a safe work environment. The administrative assistant supports managing regulatory documentation, assisting with safety inspections, and maintaining records related to workplace safety and environmental regulations.
RESPONSIBILITIES
- Data management – Become competent with internal workings of PureWest EHS \& R database system.
- Maintain record integrity by daily input of incidents, inspections, observations, training into database.
- Set up schedule and track safety training.
- Generate and publish reports for the HSE department.
- Maintain weekly score card and dashboards.
- Contractor management – Assist with onboarding of new contractors, collecting hours and miles, sending notifications such as COI renewal, scheduling audits and tabulating outcomes of those audits and observations.
- Safety supply management – ordering materials, tracking and receiving, reconciliation of delivery tickets to invoices, assure stock is maintained.
- Field safety equipment inspections such as Eye Wash, Fire Extinguisher, First Aid Cabinets, AED.
- Assist with HSE meetings logistics and catering management.
- Entry level Safety inspections well pads.
- Manage FR and safety eyewear programs.
- Coordinate hearing exams with internal equipment.
- Other duties as assigned.
- Valid driver’s license and acceptable driving record required
- Proficient in Microsoft Office and general computer applications
- Experienced with virtual meeting platforms, including Zoom and Microsoft Teams
- Strong time management and organizational skills
- Excellent verbal and written communication skills
- Demonstrated ability to collaborate effectively across departments
- High school diploma required; some college coursework preferred
- Must be able to successfully complete and pass an Administrative Fit\-for\-Duty Assessment
- Hourly range $35\.00 \- $38\.00 based on level of experience
