Responsibilities
- Manage front desk operations, greeting visitors and directing them appropriately with professionalism and warmth
- Operate multi\-line phone systems, answer inquiries, and route calls efficiently using excellent phone etiquette
- Perform data entry tasks accurately using Microsoft Office, Google Workspace, and other office software to maintain records and files
- Handle scheduling and calendar management for executives or teams, ensuring appointments are organized and conflicts are minimized
- Assist with bookkeeping duties utilizing QuickBooks or similar accounting tools to support financial record\-keeping
- Support office management tasks such as filing, proofreading documents, and maintaining office supplies inventory
- Provide exceptional customer service by supporting clients, vendors, and internal staff with their administrative needs
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast\-paced environment
- Bilingual abilities are highly desirable to communicate with diverse clients and team members
- Demonstrated clerical experience including data entry, filing, proofreading, and document management
- Experience with office management tasks such as calendar coordination, appointment setting, and supply ordering
- Knowledge of multi\-line phone systems and phone etiquette to handle inquiries professionally
- Personal assistant or medical/dental receptionist experience is a plus for supporting specialized roles
