Position Overview:
We are seeking a polished, personable, and highly organized Front Desk Associate to serve as the face of our med spa. This role goes beyond traditional reception duties—this individual will act as the host of the entire spa experience, ensuring every client feels welcomed, cared for, and valued from the moment they walk through our doors.
Key Responsibilities:
Client Experience \& Hospitality
- Greet every client warmly and create a luxury, welcoming environment
- Act as the “host” of the spa—anticipating client needs and ensuring comfort throughout their visit
- Offer beverages (coffee, water, etc.) and maintain a clean, inviting reception area
- Ensure a seamless, elevated experience from check\-in to check\-out
- Answer phones promptly and professionally
- Schedule, confirm, and manage appointments with accuracy and attention to detail
- Respond to client inquiries via phone, email, and text in a timely manner
- Maintain strong communication with providers and team members to ensure smooth daily operations
- Manage daily schedules and client records within booking software
- Check and respond to emails consistently throughout the day
- Process payments and handle transactions accurately
- Maintain client confidentiality and adhere to HIPAA standards
- Prepare treatment rooms for upcoming clients (room turnover)
- Ensure cleanliness and organization of all front desk and common areas
- Restock supplies (beverages, retail, office materials, etc.)
- Support team with day\-to\-day operational needs
- Previous front desk, hospitality, or customer service experience preferred
- Strong communication and interpersonal skills
- Highly organized with strong attention to detail
- Comfortable with computers, scheduling systems, and multitasking
- Ability to remain calm and professional in a fast\-paced environment
